Submit a proposal for a Biochemical Society scientific meeting, training course, Harden Conference and more.


What is a Biochemical Society Event?

The Biochemical Society offers a diverse programme of scientific meetings and training, centred on the principles of openness and inclusion. Our events are organised by our experienced events team, in conjunction with relevant subject matter experts who form the Scientific Programme Committee for each event.

We welcome proposals from members for all events, including scientific meetings, our flagship Harden Conferences, in-person and online training, and webinars. We also welcome proposals for alternative events to our standard offering.

The Scientific Programme Committee are responsible for overseeing the scientific programme for the event, including:

  • Assessing abstracts (via anonymous review) and selecting submissions for oral communications and posters, if applicable
  • Making initial informal contact with invited speakers within the Society’s policies and guidelines
  • Actively assisting with promotion and awareness of the event
  • Assisting in raising additional sponsorship
  • Assisting with CPD application
  • Writing a short post-event report for The Biochemist
  • Adhering to timelines as set by the Biochemical Society

The Scientific Programme Committee commit to working closely, collaboratively and courteously with the Biochemical Society to produce the highest quality scientific events programme, aimed at enhancing delegates’ knowledge and understanding. 

All members of the Scientific Programme Committee must be members of the Biochemical Society before our events team begin working on the event. Programme Committees should include people from at least two different institutions and should include someone at the earlier stages of their career.

The Society’s professional events team will manage all logistical and operational aspects of the event. This will include, but is not limited to:

  • Venue selection, all catering, audio visual and other suppliers as needed

  • Dates – to avoid competing events and fit with the events programme

  • Set and manage the budget, registration fees (which will include discounts for Society members) and manage all financial transactions

  • Sign all contracts, arrange CPD application and public liability insurance

  • Create all marketing materials and promote the meeting through various media  

  • Manage invited speaker registration, abstract submission and delegate registrations

  • Accommodation for invited speakers and options for delegates (if appropriate)

  • Sponsors and exhibitors

  • Onsite management of the event, including set-up, registration, and all onsite logistics

  • Manage all post-event review, including evaluation, communication, budgets, and data management 

The Biochemical Society is responsible for all elements affecting the budget; the Scientific Programme Committee is responsible for the scientific content of the event.

When proposing a Biochemical Society event, you agree to:

  • Programme requirements:
    • Max 1 invited speaker per session (max 4 per day)
    • Max 2 nights for scientific meetings, max 3 nights for Harden Conferences
    • Diverse and balanced programme of invited speakers
    • Inclusion of Award speaker(s), if the subject are is deemed suitable/appropriate by the Grants and Awards Manager
    • Opportunities for students and ECRs beyond Oral Communications and Poster presentations
  • Abide by all relevant Society policies such as:
  • The Biochemical Society managing all logistical and operational aspects of the event
  • Not place yourself under any financial (or other) obligation to an outside individual or organisation that might influence you in the performance of your duties
  • Conduct yourself in a manner that does not damage or undermine the reputation of the Biochemical Society or its staff, individually or collectively
  • Adhere to relevant Data Protection and Privacy regulation/legislation under guidance from the Conference Office

Submit your proposal

We welcome event proposals from any member of the scientific community, however please note that the Scientific Programme Committee must all be members of the Biochemical Society before the events team begin planning the event. Proposals are submitted in two stages:

  1. Initial submission for feedback
    Members of our Research Area will review the proposal to assess the scientific content and Biochemical Society staff will review the proposal to ensure it meets our policies and guidelines.

    Feedback will be collated and sent to submitters 2-3 weeks after the initial submission deadline. You will have ~1 week to amend your submission if needed, before stage two submission.

  2. Final submission
    Your revised proposal will be submitted for formal review by our Research Area and Conferences and Training Panel for a final decision. Please note this can take 8-10 weeks from the stage two submission date.

From submission to date of event please allow 15 months for a Scientific Meeting or Harden Conference, 12 months for a Training course, and 6 months for a Sponsored event.
